# Slack

By connecting your Slack workspace to Rox, you can receive personalized insights directly in your Slack DMs. Follow the steps below to complete the integration.

Setup has two required steps: connect your workspace, then add Rox to the channels you want it to use. You can also configure automatic channel joining and optionally link channels to customer accounts.

### Before you begin

* Workspace-wide Slack integration is available to Enterprise customers. Contact <help@rox.com> if you need it enabled.
* You need admin privileges in Rox and the appropriate Slack permissions to authorize the integration.
* Rox matches users across Rox and Slack by email address. Users with different email addresses in the two systems will not be connected automatically.

> Connecting your workspace does not give Rox access to every conversation. Rox can only read channels it has been added to. It does not read direct messages between workspace members.

### 1. Connect your Slack workspace

1. Open [Settings → Integrations](https://run.rox.com/settings?tab=integrations) in Rox.
2. Find **Slack** and click **Connect**.
3. In the **Connect your Slack workspace** window, click **Connect** to start Slack authorization.
4. Select the correct Slack workspace, review the requested permissions, and click **Allow**.

If your workspace requires approval for new apps, request approval from your Slack admin. Once approved, return to Rox and restart the connection process.

Rox will sync your Slack users and channels. This typically takes **5–10 minutes**. When the sync finishes, the person who connected the integration receives a Slack notification and an email.

Click **Add Rox to channels** in the notification to continue setup.

### 2. Add Rox to channels

Rox must be added to a channel before it can use that channel’s messages as context.

#### During setup

1. In the **Add the bot to your Slack channels** window, search for the channels you want to connect.
2. Select the channels.
3. Click **Add to channels**.

Choose channels where your team discusses customers, deals, and account updates.

> Private channels require an invitation from inside Slack. Follow the steps under **Add Rox from Slack** below.

#### After setup

You can add more public channels at any time:

1. Open **Settings → Integrations → Slack → Channels**.
2. Select **Public channels**.
3. Click the **+** icon beside a channel to add Rox.
4. To add Rox to multiple channels, select their checkboxes and click **Add bot**.

The channel’s **Bot status** changes to **Connected** once Rox has been added.

Use **Refresh** if a recently created channel does not appear.

#### Add Rox from Slack

Use this method to add Rox to an individual public or private channel.

1. Open the channel in Slack.
2. Click the channel name at the top.
3. Select **Agents and apps**.
4. Click **Add Agent or App**.
5. Search for **Rox** and add it to the channel.

Your workspace may require Slack admin approval.

### Automatically join channels

If your team follows a channel naming convention, you can configure Rox to automatically join matching public channels. Rules apply to both existing channels and channels created later.

#### During setup

1. On the **Automatically join channels** screen, choose a matching condition, such as **Starts with**.
2. Enter the value to match.
3. Click **Add rule** to create additional rules.
4. Click **Save and finish**.

For example, if your customer channels use names such as `int-cust-acme`, choose **Starts with** and enter `int-cust-`.

Rox joins public channels whose names match **any** of your rules. Select **Skip** if you prefer to add channels manually.

#### Update rules later

1. Open **Settings → Integrations → Slack → Overview**.
2. Find **Auto join channels**.
3. Add, edit, or remove rules.
4. Click **Save**.

> Automatic joining applies only to public channels. Add Rox to private channels from inside Slack.

### Link channels to customer accounts (optional)

Link a channel to a Rox account to associate its conversations with the right customer. Account linking is optional and is separate from adding Rox to the channel.

Rox must already be in the channel before you link an account.

#### From Slack

1. Open the channel.
2. Run `/rox`.
3. Click **Link Account**.
4. Search by account name or company domain.
5. Select the correct account and click **Link**.

#### From Rox

1. Open **Settings → Integrations → Slack → Channels**.
2. Locate the channel.
3. Click **Connect** next to the channel’s account connection.
4. Search for and select the appropriate account.

### Manage channel context

Messages from channels where Rox has been added are automatically included as context in Rox.

To stop using a channel’s messages as context:

1. Open **Settings → Integrations → Slack → Channels**.
2. Locate the channel.
3. Turn off **Use as Context**.

#### Sync timing and access

* **Initial sync:** Historical messages may take up to 30 minutes to become available after adding Rox or enabling **Use as Context**.
* **Ongoing sync:** After the initial sync, new messages become available in Rox context within 15 minutes.
* **Channel access:** Channel message context is available only to members of that Slack channel.
* **Private channels:** Private channel context is not used to answer questions in other Slack channels. Members can still use that context in the Rox web app and in direct messages with Rox.

### Manage private data sources

By default, Rox does not use private data sources such as notes, meeting transcripts, and emails when answering questions in Slack channels. These sources remain available when interacting with Rox through direct messages, the Slack Agents view, or the Rox web app.

To enable private data sources for responses in Slack channels:

1. Open **Settings → Integrations → Slack → Overview**.
2. Scroll to **Private data sources**.
3. Enable the sources you want Rox to use: **Notes**, **Meetings**, or **Emails**.
4. Click **Save**.

<figure><img src="https://2986926806-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUBzWA2LkfjbdaffIaGlN%2Fuploads%2FKKBRPVGTx17OmqNDSwRo%2Fimage.png?alt=media&amp;token=074fc797-f427-436e-9f0c-7914f7d5c5b1" alt=""><figcaption></figcaption></figure>

### Use Rox in Slack

* **Ask a question in a channel.** Mention `@Rox` in a channel where Rox has been added. For example: “@Rox, what changed at Acme this week?”
* **Continue in the same thread.** Ask follow-up questions in the thread to build on the conversation without repeating context.
* **Message Rox directly.** Use a direct message with Rox for individual research and questions.
* **Check App Home.** Open Rox’s App Home in Slack to view personalized insights and meeting information.
