# Capture meetings with Rox

Use the Rox macOS app to transcribe meetings in real time and capture notes. You can record an impromptu conversation or start from a scheduled calendar event.

### Overview

Use the Rox macOS app to transcribe meetings in real time and capture notes. Record in-person conversations, virtual calls, and scheduled calendar meetings.

Rox saves the transcript and notes with the meeting. Use them to prepare, create follow ups and ask questions regarding them after the conversation.

### Before you begin

### Connect your calendar

Connect your Google Workspace or Microsoft 365 calendar before recording scheduled meetings. Rox uses the connected calendar to find events and associate their recordings, transcripts, and notes.

Follow the [Calendar](/development/product/integrations/calendar.md) to connect your calendar.

### Ensure Rox has the required permissions to record a meeting

Rox needs permission to capture the audio required for live transcription. Grant these permissions before your first recording.

#### Allow microphone access

When Rox requests microphone access, select **Allow**. This lets Rox transcribe in-person meetings and your voice during virtual calls.

To update this setting later, open **System Settings → Privacy & Security → Microphone** or [try clicking here](x-apple.systempreferences:com.apple.preference.security?Privacy_Microphone).

Toggle the switch for **Rox** on once you're in **Microphone** settings.

#### Allow system audio recording

For virtual meetings, Rox needs system audio access to capture other participants. When prompted, allow screen and system audio recording.

To update this setting later, open **System Settings → Privacy & Security → Screen & System Audio Recording** or [try clicking here](x-apple.systempreferences:com.apple.preference.security?Privacy_ScreenCapture).

Toggle the switch for **Rox** on once you're in **System Audio Recording Only** settings under **Screen & System Audio Recording** settings.

### Record a scheduled meeting

Start from a calendar event when your calendar is connected to Rox. This automatically associates the recording with the event.

#### Start recording from notification

You can start taking notes for your scheduled meeting by clicking on **Join & record meeting** in the notification that will show up in the top-right corner of your screen 15 mins before a meeting or when you join a meeting

#### Start recording from sidebar

You can also start recording a scheduled meeting by clicking on the record button that shows your meeting title in the sidebar.

You can also start recording a scheduled meeting by clicking on **Transcribe** on the upcoming meeting present in the [**Meetings**](https://run.rox.com/meetings) page.

### Record an ad-hoc meeting

Start an ad hoc recording for an unscheduled meeting. This works for in-person conversations and virtual calls.

Select **Start recording**. Rox begins transcribing the conversation in real time.

Use the notes panel to capture context, decisions, and follow-up items during the meeting.
