# Hubspot

Rox supports connecting your HubSpot CRM. Once connected, Rox syncs your companies, contacts, and deals into the knowledge graph, so agents can research accounts, surface insights, and prepare you for meetings using your own CRM data. We recommend connecting the same HubSpot portal your team uses in production. If you need help identifying the right one, reach out to your Rox contact.

> Note: You'll need admin permissions in both Rox and HubSpot to authorize this integration. Setup involves two authorizations — one for Rox, one for Fivetran — and data does not sync until both are complete.

### **What you'll need**

In Rox: Organization Admin privileges. Only an Org Admin can connect a CRM. In HubSpot: a user who can install and authorize third-party apps — typically a Super Admin, or a user with App Marketplace access. The portal ID of the HubSpot account you intend to connect. You'll be asked to pick a portal twice, and both selections must match.

### **Step 1: Connect HubSpot to Rox**

Sign in to [run.rox.com](http://run.rox.com/). Click on your user name in the bottom left corner. Go to Settings. Click Integrations. Find Hubspot and click Connect (or Action Required). In the HubSpot Integration dialog, click Connect HubSpot under step 1. On the HubSpot screen, click Sign in to your HubSpot account. Do not click Create a new HubSpot account — this creates an empty portal instead of connecting your CRM, and the connection has to be torn down and redone. Sign in with your HubSpot credentials, or through your identity provider if your org uses SSO. On Choose an account, select the portal holding your live CRM data and click Choose Account. Confirm using the portal ID shown beneath the domain — sandbox and production portals often have near-identical names. Approve the access request. You'll be returned to Rox, and step 1 of the dialog will show Completed.

### **Step 2: Authorize Fivetran**

Rox uses Fivetran (the secure service we use to move your data into our data warehouse and build our knowledge graph) to sync HubSpot. This is the half of setup that actually starts the data flowing. In the HubSpot Integration dialog, click Map Key Values under step 2. On the Fivetran notice, click Continue. Fivetran's terms and privacy policy are linked here if your security team needs them. You'll be returned to the Integrations page, where the Hubspot tile now shows Action required. Click it. Then click on Map Key Values. This is expected at this point in setup, not a failure.

In the Fivetran connector setup, leave Historical sync time frame on Sync all historical data unless you want to limit how far back Rox looks. Click Authorize. On Choose an account, select the same portal you chose in Step 1 and click Choose Account. Review the permissions HubSpot requests. There are 8 required permissions covering companies, contacts, deals, and their property settings, and 41 optional ones, which arrive fully selected. Scroll to the bottom, tick the checkbox acknowledging the third-party app's terms, and click Connect app. You'll return to the connector, which should now read Authentication Succeeded. Click Save & Test. Do not use Save for later — it stores the connector without activating it, so the integration looks connected while no data moves.

### **Step 3: First sync and account assignment**

Fivetran runs a connection test and begins the initial sync. The Action required state on the Hubspot tile clears once the connector is saved and healthy. Expect at least 30 minutes before data appears in Rox, and potentially several hours for a large portal on the first full historical sync. Subsequent syncs are much faster. Once the sync completes, configure how HubSpot accounts map to Rox users so each seller sees the accounts they own. #### **Notes on permissions**

The permissions on the consent screen are requested by Fivetran's HubSpot connector, a HubSpot-certified app — not by Rox directly.The 8 required permissions are fixed and cannot be deselected. The 41 optional permissions can be narrowed using the All / View-only / None controls at the top right of that section. If you need to reduce the footprint, View-only is the safer choice over None, since deselecting scopes can limit which Rox features work later. Check with your Rox contact before narrowing.

#### **Notes on sync behavior**

The HubSpot integration is currently read-only. Rox reads companies, contacts, deals, and associated activity from HubSpot and does not write records back. Because there is no writeback, there is no managed package or private app to install on the HubSpot side. If you need specific HubSpot properties synced, contact your Rox contact.

#### **Troubleshooting**

Connect does nothing, or returns a permissions error. You most likely don't have Organization Admin privileges in Rox. Confirm with your Rox contact. The tile still shows Action required after Save & Test. Reopen the connector and check that it reads Authentication Succeeded. If it doesn't, re-run the authorization from Step 2. The integration shows a failed status. This is usually a previous or partial connection attempt conflicting with the new one. Rather than retrying repeatedly, send the error to your Rox contact so the stale connection can be cleared. You connected the wrong portal, or the two halves point at different portals. Contact Rox rather than disconnecting yourself; the old connection needs clearing before you reconnect. No accounts appear after several hours. This is usually account assignment rather than the sync — the data has landed, but no rule maps those accounts to your users yet. See Step 3.
