Multiple Mailboxes
Connect additional Gmail or Outlook accounts and choose the sending mailbox for your sequences.
You can connect more than one mailbox to Rox and select the account used for sequence sending. Each mailbox has its own connection and sending limits.
A mailbox can be connected to only one Rox user at a time. You can connect accounts from both Gmail and Outlook.
Connect an additional mailbox
Open Sequences and select a sequence.
Open Settings, then the Mailbox dropdown.
Select Manage mailboxes.
Choose the option to add a Gmail or Outlook account.
Review the restricted-domain and initial-sync options. Restricted domains control which emails are excluded from processing. The initial-sync period determines how far back Rox reads email during the first sync.
Complete the provider's authorization flow using the correct Google or Microsoft account.
Return to the sequence and select the mailbox you want to use.
Choose a mailbox for each sequence
Adding a mailbox does not automatically change existing sequences. Review the Mailbox selection in each sequence's Settings.
In a shared sequence, collaborators use their own connected mailboxes. They do not share a single sending address.
Configure sending limits
Open Manage mailboxes → Deliverability to review the mailbox's daily sending limit and other available deliverability settings. Limits apply at the mailbox level, so consider all sequences using that mailbox when planning sending volume.
Select a tracking domain
If your organization has configured custom tracking domains, select the appropriate one in the mailbox's Deliverability settings.
Use a tracking subdomain associated with the sending address's domain. For example, a mailbox at jane@example.com would use a configured tracking subdomain such as track.example.com.
See Custom Tracking Domains for the administrator setup process.
Disconnecting a mailbox
Before disconnecting a mailbox, review the sequences and conversations that use it. Follow-ups to contacts already emailed from that mailbox can fail after disconnection and may require you to reconnect the original mailbox.
Do not assume that choosing another mailbox moves an existing email conversation to that account. Review affected contacts and scheduled messages before continuing outreach.
Troubleshooting
The wrong account appears during connection
Confirm which Google or Microsoft account is signed in before authorizing.
A mailbox is already connected to another user
Each mailbox can belong to only one Rox user at a time. Resolve the existing connection before connecting it to another user.
A sequence uses the wrong sending address
Review its Mailbox selection. Adding an account does not update existing sequences.
Follow-ups fail after disconnection
Reconnect the original mailbox and review the affected contacts.
